Terms of Service

These Terms of Service govern your access to and use of teleAI Receptionist, an AI-powered voice receptionist platform operated by Orblogic, Inc. Please read them carefully before using the Service.
1. Acceptance of Terms
By accessing or using teleAI Receptionist (the "Service"), you agree to be bound by these Terms of Service ("Terms") and our Privacy Policy. If you are using the Service on behalf of a business, you represent that you have the authority to bind that entity to these Terms. If you do not agree, do not use the Service.
2. Service Description
What teleAI Receptionist Does
teleAI Receptionist is an AI-powered voice receptionist platform that handles inbound business calls 24/7. Core capabilities include natural-language call handling, automated lead capture, real-time appointment scheduling with SMS confirmation, intelligent call routing and forwarding, employee availability management, a knowledge base for accurate AI responses, multi-location support, and a reporting and analytics dashboard.
Silent AI Mode
The platform offers a Silent AI Mode that allows the AI to operate without identifying itself as an AI. You are solely responsible for ensuring that your use of Silent AI Mode complies with all applicable laws in your jurisdiction, including any call-disclosure or consent laws.
Integrations
We currently integrate with athenahealth, Tebra, and Cerner Health. Additional integrations are on our roadmap. Integration availability may change and does not constitute a guarantee of continued availability.
3. Accounts & Registration
- You must provide accurate, complete, and current registration information
- You are responsible for maintaining the confidentiality of your credentials and for all activity under your account
- You must notify us immediately of any unauthorized access to your account
- One account may manage multiple business locations; each location may have its own phone number and AI configuration
- You must be at least 18 years old to create an account
- We reserve the right to suspend or terminate accounts that violate these Terms
4. Free Trial & Billing
Free Trial
We offer a 14-day free trial with access to all features and no credit card required. At the end of the trial, your account will be downgraded or paused unless you select a paid plan.
Subscription Plans
Paid plans are billed on a monthly or annual basis depending on your selected plan. Pricing is based on your business needs, call volume, and selected features. Flexible plans are available for small businesses and large enterprises.
Payment
All fees are charged in advance for the billing period. Payments are processed securely through our payment processor. You authorize us to charge your payment method on each billing date.
Taxes
You are responsible for all applicable taxes associated with your subscription. We will collect taxes where required by law.
Price Changes
We may change subscription pricing with at least 30 days' notice. Continued use of the Service after the effective date constitutes acceptance of the new pricing.
5. Cancellation & Refunds
Cancellation
You may cancel your subscription at any time from your account dashboard. Cancellation takes effect at the end of your current billing period. You will continue to have access to the Service until that date.
Refunds
Subscription fees are non-refundable except where required by applicable law. If you cancel mid-period, you will not receive a prorated refund for unused days. Exceptions may be considered for billing errors or technical failures that prevented you from using the Service — contact us within 14 days of the charge.
Account Data After Cancellation
After cancellation, your data will be retained for 90 days, during which you may request an export. After 90 days, data is permanently deleted.
6. Acceptable Use
You agree not to use the Service for any unlawful purpose or in any way that violates these Terms. Prohibited conduct includes:
- Using the platform for spam calls, telemarketing without consent, or any activity that violates the TCPA or applicable telemarketing laws
- Impersonating a human when legally required to disclose AI identity
- Processing Protected Health Information (PHI) without executing a BAA with us
- Attempting to reverse engineer, decompile, or extract the AI models or platform code
- Using the Service to harass, threaten, or harm callers or third parties
- Uploading malicious files, scripts, or content to the knowledge base
- Circumventing security controls, rate limits, or access restrictions
- Reselling or sublicensing the Service without written permission from Orblogic, Inc.
7. HIPAA & Healthcare Compliance
BAA Requirement
If you are a Covered Entity or Business Associate under HIPAA and intend to use the Service to handle Protected Health Information (PHI), you must execute a Business Associate Agreement (BAA) with Orblogic, Inc. before processing any PHI through the platform.
Your Responsibilities
You are responsible for ensuring your use of the Service complies with HIPAA and all other applicable healthcare regulations. This includes obtaining proper patient authorizations before recording calls or storing caller information.
HIPAA Features
The platform includes HIPAA-compliant infrastructure: encryption in transit and at rest, audit logging, role-based access controls, and a BAA available on request. Contact us at orblogic.com/contact-us to request a BAA.
8. Intellectual Property
Our Platform
teleAI Receptionist, including all AI models, software, interfaces, branding, and documentation, is the exclusive property of Orblogic, Inc. and protected by intellectual property laws. You receive a limited, non-exclusive, non-transferable license to use the Service during your subscription.
Your Content
You retain ownership of all content you upload, including knowledge base documents, business information, and call recordings. You grant us a limited license to process this content solely to provide the Service. We do not claim ownership of your data.
Feedback
If you submit feedback or suggestions, you grant us an irrevocable, royalty-free license to use such feedback without restriction or compensation to you.
9. Data & Privacy
Your use of the Service is also governed by our Privacy Policy, incorporated herein by reference. Key commitments: your data is never used to train AI models, never sold to third parties, and is protected with enterprise-grade security. Healthcare customers may request a BAA to satisfy HIPAA requirements. Please review our full Privacy Policy for details.
10. Service Availability & SLA
Uptime Target
We target 99.9% platform uptime, excluding scheduled maintenance. Scheduled maintenance will be communicated with at least 24 hours' notice where possible.
No Guarantee
While we strive for high availability, the Service is provided on an 'as available' basis. We are not liable for losses resulting from downtime, interruptions, or service degradation beyond our reasonable control, including third-party infrastructure failures (telephony providers, cloud services).
11. Disclaimers
THE SERVICE IS PROVIDED "AS IS" AND "AS AVAILABLE" WITHOUT WARRANTIES OF ANY KIND, EXPRESS OR IMPLIED, INCLUDING WARRANTIES OF MERCHANTABILITY, FITNESS FOR A PARTICULAR PURPOSE, ACCURACY OF AI RESPONSES, OR NON-INFRINGEMENT. WE DO NOT WARRANT THAT THE SERVICE WILL BE UNINTERRUPTED, ERROR-FREE, OR THAT AI-GENERATED RESPONSES WILL ALWAYS BE ACCURATE. YOU ARE RESPONSIBLE FOR REVIEWING AI OUTPUTS AND ANY DECISIONS MADE BASED ON THEM.
12. Limitation of Liability
TO THE MAXIMUM EXTENT PERMITTED BY LAW, ORBLOGIC, INC. AND ITS OFFICERS, EMPLOYEES, AND AFFILIATES SHALL NOT BE LIABLE FOR ANY INDIRECT, INCIDENTAL, SPECIAL, CONSEQUENTIAL, OR PUNITIVE DAMAGES, INCLUDING LOSS OF REVENUE, LOSS OF DATA, OR LOSS OF BUSINESS, ARISING FROM YOUR USE OF OR INABILITY TO USE THE SERVICE. OUR TOTAL LIABILITY FOR ANY CLAIM SHALL NOT EXCEED THE AMOUNT YOU PAID US IN THE 12 MONTHS PRECEDING THE CLAIM.
13. Indemnification
You agree to indemnify and hold harmless Orblogic, Inc. and its affiliates, officers, employees, and agents from any claims, damages, losses, or expenses (including reasonable legal fees) arising from your use of the Service, your violation of these Terms, your violation of any law or third-party rights, or any content you upload to the platform.
14. Termination
By You
You may terminate your account at any time by cancelling your subscription through the dashboard and ceasing use of the Service.
By Us
We may suspend or terminate your access immediately if you violate these Terms, engage in fraudulent or abusive activity, or if continued service creates legal or security risk. We will provide notice where practicable.
Effect of Termination
Upon termination, your right to use the Service ends immediately. Sections relating to intellectual property, disclaimers, limitation of liability, and governing law survive termination.
15. Governing Law & Disputes
These Terms are governed by the laws of the State of Delaware, United States, without regard to conflict of law principles. Any disputes arising from these Terms or the Service shall be resolved through binding arbitration under the rules of the American Arbitration Association, except that either party may seek injunctive relief in a court of competent jurisdiction. You waive the right to participate in class action lawsuits.
16. Changes to These Terms
We may update these Terms from time to time. We will notify you of material changes via email or a prominent notice in the dashboard at least 14 days before they take effect. Your continued use of the Service after the effective date constitutes acceptance of the updated Terms.
